Executive Assistant to CEO (Remote – LATAM)

About the Role

We are seeking a highly organized and proactive Executive Assistant to directly support the CEO. This role involves managing high-level administrative responsibilities, coordinating communications, and helping ensure the CEO’s time and attention are focused on the company’s highest priorities.

The ideal candidate is resourceful, independent, and highly organized, with the ability to anticipate needs, manage competing priorities, and operate effectively in a fast-paced startup environment.


Key Responsibilities

Calendar & Schedule Management

  • Manage and optimize the CEO’s calendar to ensure time is allocated to the most important priorities.
  • Coordinate meetings, scheduling logistics, and internal/external appointments.

Communication Management

  • Monitor and manage high-volume communications across email, Slack, and LinkedIn.
  • Help prioritize messages and identify important opportunities within inbound communications.
  • Draft responses and coordinate follow-ups when appropriate.

Administrative & Operational Support

  • Provide day-to-day administrative support for the CEO.
  • Handle travel arrangements, scheduling logistics, and special projects as needed.
  • Assist with operational tasks that help the CEO stay focused on strategic initiatives.

Desired Skills & Experience

  • Previous experience working as an Executive Assistant, preferably supporting C-level executives.
  • Strong ability to think independently and apply first-principles thinking to decision-making.
  • Highly proactive and self-directed, able to anticipate needs without constant direction.
  • Excellent written and verbal communication skills.
  • Comfortable working with modern digital tools and collaboration platforms.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Adaptable and resilient in fast-paced startup environments.
  • Professional judgment when handling confidential information and communications.

Schedule

  • Flexible schedule with regular overlap with Pacific Time (PST).
  • The CEO typically works 6:30 AM – 4:00 PM PST, with occasional communication outside standard hours.
